How To Clear Out an Estate Library
Clearing a parent's library is rarely just a logistics problem. It is usually done on a deadline, in grief, by someone who lives out of state. This guide is written for that situation.
Before anything leaves the house
Do these four things first. They take an afternoon and they prevent the mistakes that cannot be undone.
Open the books and shake them
People of a certain generation used books as filing cabinets. Cash, savings bonds, photographs, letters, deeds, insurance policies and obituaries all turn up inside books. Fan the pages of anything that looks personal, especially Bibles, photo albums and family cookbooks.
Photograph the shelves
Before you disturb anything. It costs two minutes, it helps any appraiser or collection service quote accurately, and families are often glad later to have a picture of the room as it was.
Set aside anything inscribed
Books signed by family members, given as gifts, or with a name written inside are the ones relatives ask about six months later. Put them in one box and let the family decide, not the deadline.
Check for a specialist collection
If the person collected in one subject deliberately, that is different from a general household library and may be worth an appraisal.
What is worth getting appraised
Most estate libraries do not need an appraiser. These are the signs that yours might:
- A deliberate subject collection built over decades, especially in a narrow field
- Signed or inscribed copies by authors of note
- Leather bindings, fine press editions, or anything in a slipcase
- Antiquarian material, roughly pre-1900, in decent condition
- Local Florida history, maps, or small press runs
- Anything the family already believed was valuable
If none of that applies, a general library of a few thousand ordinary books is unlikely to repay the cost and delay of a formal appraisal. Getting it cleared cleanly is usually the better outcome.
Working to a deadline
Most estate clearances run against a closing date, a listing date or a move-out. Books are almost always left until last because they are the heaviest and the least emotionally simple.
Two pieces of practical advice. First, book the collection service before you think you need to, because the last week always compresses. Second, tell whoever you book the actual deadline rather than a comfortable version of it. Where books fit alongside an estate sale
If an estate sale company is running a sale, books are usually priced low and often do not clear. The common pattern is that the sale runs, most of the books remain, and someone has to deal with them on the Monday. That is a normal job for us and it is worth arranging in advance rather than in a panic.
We take books, DVDs, CDs, audiobooks, cassettes and video games. We do not take furniture or shelving, so you will still want a junk removal service or the estate sale company for those.
The tax question, answered honestly
Executors ask about this constantly, so here is the straight answer: we cannot issue the paperwork an estate would need for a charitable deduction. If the estate specifically needs one, speak to its accountant first and use a registered nonprofit. Better to know now than at filing time.
If you are out of state
This is common and it is workable. You can arrange the whole thing remotely: book it in your name, tell us who has the key, and give us a phone number for the person on site, whether that is a neighbor, a realtor or a cleaner. We will confirm the arrangement in writing before we come so there is a record you can point to.
A word about the pace of it
People often apologize to us for how long they have left the books. There is no need. A library is the last thing to go because it is the most personal room in the house. If you need to do it in stages, do it in stages. We would rather come twice than have you rush a room you are not ready to empty.
